Checking this box denotes that you have read and fully understand all guidelines, requirements, restrictions, and other provisions outlined in the following BUILDING USE POLICY and agree to abide by the responsibilities stated in the policy. Submission of this form does not approve this request. Upon receipt of this form, a determination will be made regarding the availability and use of the facility and any resulting fees as listed in the policy below. If the request is approved, a confirmation email will be sent with any additional instructions for using the building.
Priorities for the use of HCC space and facilities are in this order:
1. Regularly scheduled services and meetings of the congregation.
2. Priority will be given to any HCC-related organization/ministry.
3. Funerals & Weddings (see Wedding Policy for specific wedding guidelines).
4. Church members may schedule family events such as birthdays, reunions, anniversaries, & shower celebrations.
5. Outside groups and non-member requests will be considered based on the availability of the facility and whether the activity is consistent with the values and mission of HCC.
6. The use of the building will be minimal during December for events outside of church programming.
Church members can reserve church space (6) months before a graduation celebration event. Building use requests will not be granted before (60) days of an event for non-members and any other non-church, personal event for members or non-members.
Use of church space and facilities is not available for:
• Political purposes.
• For Profit groups (commercial purposes involving the sale of goods or services).
• Activities inconsistent with the values and mission of the Heath Church of Christ.
• Any use of the property that requires clarification will be referred to the elders for final interpretation/decision.
General Guidelines
• All events (building use) must be approved and scheduled through the church office.
• The church has the right to refuse the use of the facility.
• Saturday events must be scheduled to complete the event and clean up by 6:00 p.m. to allow for Sunday worship preparations.
• No alcohol, tobacco, firearms, illegal drugs, gambling, dancing, or suggestive music will be allowed on church property.
• For children and youth events, the applicable group or organization must provide adequate adult supervision.
• Those using church facilities must confine themselves to the areas provided for in their Building Use Request and will not exceed the capacity limits of requested facility areas.
• Users may not take tables and chairs or other items from other rooms and areas of the facility. Arrangements must be made for additional equipment if needed (any equipment required for an event should be requested on the BUILDING USE REQUEST-see Special Requests/Setup Needs-page 2).
• The rooms and areas of the facility must be clean and returned to their original layout (a room and area layout will be provided).
• Those using HCC facilities agree to release, protect, defend, indemnify, and hold harmless HCC and its trustees, officers, employees, members, and other representatives from and against any claims, liabilities, losses, damages, actions, costs, and expenses directly or indirectly arising out of their use of any the HCC facility.
• Outside groups must furnish HCC a certificate of comprehensive general liability insurance coverage naming the church as an additional insured.
• In the event of damage to the church facilities, those using any church facility shall accept the amount of repair and replacement costs as estimated or otherwise determined and shall pay the church for such repair and replacement costs upon demand.
Fees
No HCC-related organization/ministry shall be charged a fee for using the facilities or equipment.
No fee will be charged for HCC members using the facility for personal functions (such as birthday, reunion, anniversary, & shower celebrations--please see the separate Wedding Policy for wedding guidelines). A fee for setup/operation expenses to the church (worship area/table/chair setup, sound/projection system operation, etc.) will be determined per event.
A $25.00 per hour fee will be charged to any outside group or non-member (including setup and cleanup time). A fee for setup/operation expenses to the church (worship area/table/chair setup, sound/projection system, etc.) will be determined per event.
